We’ve compiled a list of frequently asked questions and answers for your convenience. If there is anything you can’t find, please feel free to reach out and we’ll get back to you as soon as possible.

How far in advance can I reserve my event?

Our clients are eligible to book their event date up to two years in advance.

What type of events do you plan?

We excel in curating intimate gatherings that exude sophistication. Our expertise spans across a diverse range of events, including social gatherings, corporate meetings, and holiday parties, with weddings being our most sought-after service.

Why should I hire an event planner?

Organizing an event can be a daunting task, consuming both time and energy. Our team specializes in managing the logistics of your event, providing guidance and support throughout the process. With our professionals at your disposal, you can rest assured that all aspects of your event are taken care of, allowing you to fully enjoy the occasion.

What types of weddings do you plan?

We organize a diverse range of wedding types and styles, including traditional, formal, non-denominational, interfaith, informal, and elopements.

What wedding services do you NOT offer?

At present, our services do not extend to civil ceremonies, destination weddings, cruise weddings, festival weddings, proxy weddings, or virtual weddings.

How much time do you need to plan an event?

Generally, parties are reserved between 3 to 6 months in advance and weddings are booked 6 to 18 months ahead of time. Although we recommend reserving events with at least 6 weeks lead time, it is not mandatory. However, reserving events with less than 30 days notice will incur a 25% "late booking fee," and suppliers may charge additional fees. It is pertinent to note that "late booking fees" do not apply to funerals and repast services.

What is your minimum budget requirement?

As event planning is integral to our livelihood, we have established a minimum budget requirement of $995 for non-wedding events and smaller projects, while weddings have a minimum budget of $1695. We also offer discounts to our existing clients for add-on services and repeat business.

What is included in your wedding planning services?

At Virgo Event Planning, we prioritize providing our clients with the finest planning experience possible. As part of our commitment to this goal, every client gains access to our client planning portal. To manage all events, we utilize Aisle Planner which has the most powerful, complete, and seamlessly integrated suite of planning and project management tools to streamline your processes.

Our services incorporate a comprehensive range of features, including a site tour before the wedding day, a detailed wedding day timeline, a minimum of ten hours of coverage, and the presence of two team members. Additionally, we provide vendor management on the wedding day and a ceremony rehearsal if desired.

Do you work multiple events on the same day?

Currently, we schedule one event per day. In the unlikely scenario that we schedule multiple events on the same day, each event would have its own separate team to avoid any overlap and ensure a seamless experience for all involved.

What is the difference between Day of Coordinator and Partial Wedding Planning?

Wedding management, also known as Day of Coordination, involves the hiring of a planner to implement pre-established plans created by the client. The majority of our efforts are directed towards gathering pertinent information about your wedding and liaising with the vendors you've contracted. Based on this information, we will develop a comprehensive wedding day timeline and organize the ceremony rehearsal before the big day. On the other hand, partial planning is intended for clients who require more active involvement from their planner throughout the planning process and may require some guidance or support in finalizing the details.

What is the difference between wedding planning and wedding styling?

While wedding planning handles all the paperwork and practical arrangements, wedding styling is all about the pretty stuff: how the wedding looks, feels, and moves you. Think of it as the wedding's unique personality or theme.

What is the booking fee to reserve my wedding/event?

To secure your wedding/event date, a non-refundable retainer of 30% is necessary.

How do you charge for services?

We keep things simple with a flat rate pricing system, so you can enjoy a no-surprise bill. If you're planning a mega-bash, then we'll work out a percentage of the overall budget to keep things fair. Hourly rates are exclusively for add-on services.

Are deposits refundable?

Unfortunately, the retainer payment collected at the initiation of the contract is non-refundable.

What is your postponement and cancellation policy?

Uh-oh, if the event gets canceled, Virgo Event Planning won't be able to return any of the fees paid. But if it's postponed, you're in luck! We can still offer our fantastic services for a new date if we're available. Mind you, you'll need to book another shindig within 24 months, or you might lose all the monies paid.

If we don't hear from you about a new date, all services will come to a halt. But, don't worry, once you've rescheduled, we'll adjust the payment schedule and only charge a teeny $250 postponement fee to save the new date.
